Wedding Terms & Conditions
We will hold the venue for you as a provisional booking for 7 days. if no confirmation is received in the form of a deposit payment within seven days then the date will automatically be released. You may only hold one provisional date.
Confirming Your Booking
To confirm your booking, we require a non-refundable deposit of £1000.00 to secure your chosen wedding date.
Please ensure that you have confirmed the date with the church and/or registrar prior to confirming your date with us.
Following your deposit, there is nothing further to pay to the Penrallt Hotel until 12 weeks prior to your wedding date.
12 weeks prior to your wedding we will meet with you at the Hotel to discuss your day in full and gather the final details. From this discussion, we will generate a proforma invoice, from which 50% of the total balance will be payable within 7 days. This 50% payment is non-refundable.
4 weeks prior to your special day, we require the settlement of the balance of your proforma invoice. This will include any amends/tweaks in numbers etc. that have occurred between the 12-week mark and the 4-week mark.
We understand that your final numbers may alter after this point, however, there will be no refunds given if your numbers decrease 4 weeks prior to your wedding after the final balance has been paid.
In the event of a cancellation, the following charges will apply based on numbers at the time of booking and the proforma invoice is drawn up.
13 weeks or more - The initial deposit is non-refundable and will therefore be retained by the Hotel.
12 – 8 weeks – 50% of the proforma invoice will be payable. In the absence of a proforma invoice being drawn up, 50% of the original quotation will be due.
5 – 7 weeks - 90% of the proforma invoice amount will be charged.
0 – 4 weeks - 100% of the proforma invoice will be charged.
The package rates agreed at the time of signing the terms and conditions will remain in place for your wedding except for a change in Vat rates or import duties that are outside our control.
Final numbers are to be confirmed with the hotel 4 weeks prior to the wedding date. Where numbers or arrangements have been altered following this the Penrallt Country House Hotel will draw up a new proforma to be settled prior to your wedding day. Please note the final bill will not be reduced after this date.
Final numbers and table plans need to be in place 14 days prior to the wedding date.
Any damage to the property incidental or otherwise, that occurs during your stay will be chargeable and need to be settled prior to departure.
When booking exclusive use of the venue, the hotel is exclusively yours from 12 pm on your wedding day to 12 pm the following day. This includes all 15 hotel rooms and 10 garden rooms. There is no reduction in cost if you are unable to fill all the rooms.
A set menu will be required for your wedding guests along with a vegetarian option/ dietary requirement if required. Your menu choice will need to be with us 4 weeks in advance. Half portions of the wedding menu can be ordered for children under 10, at half the adult price. Alternatively, a children’s menu is available.
You will be required to supply every guest with an arrival drink, a glass of wine with the wedding breakfast and a drink for the toast. We recommend you choose a drinks package; however individual bottles can be purchased from the hotel. Please note we do not offer corkage
For exclusive use wedding packages, loud music can continue until 1am and there are no time restrictions on dining
We recommend that you take out Wedding Insurance to cover you for every eventuality. It is down to you to take this out and select the appropriate leave of cover that suits your requirements.
